Reporting and Repairing a Roof Leak with Maxwell Roofing: A Step-By-Step Guide

Here’s exactly what happens when you call us about a leak and what you can expect every step of the way.

Step 1: You Report the Leak

The process starts when you reach out to our Service Department by phone or through our online leak report form. If your request is submitted during business hours, you’ll hear from us the same day, usually within a few hours.

If it’s an emergency roof repair request, like a water leak over electrical equipment, we respond within 30 minutes, even if it’s after hours. For non-urgent after-hours requests, you can expect to hear from us the next business morning.

Step 2: We Ask a Few Key Questions

When you call, a member of our service team will gather essential details to help us dispatch the right crew quickly and effectively. Be prepared to answer:

  • Building name and address
  • Best on-site contact person and number
  • Business hours and roof access info
  • Number of leaks and their approximate locations
  • Who will be responsible for billing or warranty questions

If you’re already a Maxwell Roofing client, we may have this info on file, and we’ll confirm anything that may have changed.

Step 3: We Schedule the Visit

Once your leak has been reported, we’ll create a work order and begin scheduling a technician or crew. You’ll receive a confirmation call or email from our Service Coordinator letting you know when to expect our team. For most standard leak reports, our goal is to have someone on-site within 48 hours.

If you’re a MAXCare® customer, you get priority scheduling and 24/7 emergency support—another reason why property managers join our roof maintenance program.

Step 4: The Foreman Gives You a Heads-Up

When the scheduled repair day arrives, the foreman assigned to your project will call when they’re en route to your location. This heads-up ensures you or your on-site contact are prepared and available to meet the crew or provide access to the building and roof.

Step 5: We Inspect the Leak from the Inside Out

Once on-site, our crew will:

  1. Check in with your site contact: Prior to stepping onto the roof, our service technicians will collaborate with your building representative to determine how many leaks are present, the location of each leak, and conduct a thorough interior investigation.
  2. Conduct a roof inspection and investigate the cause of each leak: This includes inspecting each reported leak from inside the building and taking photos for documentation.
  3. Make immediate repairs if the issue is roof-related and repairable on the spot: Common repair methods include sealing membrane cracks, patching problem areas, or re-flashing penetrations.

If we discover the problem isn’t related to the roof or if it’s more extensive than expected, we’ll document the issue with photos and provide a detailed quote for additional work.

Step 6: Clean-Up and Final Checks

Before leaving the site, the crew will:

  • Clean up and remove any trash or leftover materials
  • Re-check leak areas
  • Report back to your on-site contact

We don’t consider the job done until everything is secure, clean, and properly documented.

Step 7: Receive a Detailed Leak Report

Within 48 hours of the repair, our Service Coordinator will send you a Leak Investigation Report. This includes:

  • A summary of what was observed
  • A description of what was repaired
  • Photos before and after the work
  • Any recommendations for preventative maintenance

This kind of transparency ensures you’re always in the loop and have records on hand for your building maintenance files.

Why Acting Quickly Matters

Delaying roof leak repairs, especially during the rainy season, can lead to bigger problems. Water that enters the roofing system can damage insulation, ceilings, walls, or even structural components. The longer you wait, the more likely it is that you’ll face:

  • More expensive repairs
  • Localized or full roof replacements
  • Mold, rot, and indoor air quality issues

Even if a leak seems small or slow, report it right away to avoid long-term damage.
